About us:
An exciting opportunity has arisen for a full-time Office Team Leader to join our busy small animal behavioural medicine referral practice.
Behavioural Referrals Ltd is a specialist veterinary practice providing evidence-based behavioural medicine support to pets and their caregivers. You will be joining an experienced and dedicated team of veterinary surgeons, rehabilitation coaches, veterinary nurses, a veterinary physiotherapist and administrative staff.
As Office Team Leader, you will play a key role in the day-to-day coordination of our five-person Operations team, ensuring workloads are well managed, tasks are completed efficiently and accurately, and our clients receive a consistently high standard of service.
Working alongside the Head of Operations, you will provide day-to-day guidance and support to the Operations team, help resolve issues and act as an important link between the office and our wider, predominantly remote, practice team.
This is a varied role suited to someone who is organised, proactive, confident and comfortable taking responsibility. You will need to manage competing priorities, support and motivate colleagues, and remain calm and professional in a busy referral environment.
Key responsibilities:
- Lead and support the Operations team, managing workloads, priorities and day-to-day tasks.
- Oversee client communications, including telephone calls, emails and complaints
- Lead weekly Operations team meetings and contribute to discussions around workload, performance and team development.
- Maintain confidentiality and professionalism when handling client and practice information.
- Provide administration support to the clinical team when required
Essential Skills & Experience:
- At least 2 years’ administrative experience, including at least 1 year within a veterinary practice.
- Previous experience supervising and mentoring.
- Excellent organisational, IT and numeracy skills, with strong attention to detail.
- Excellent written and verbal communication skills and a confident, professional telephone manner.
- Experience handling client enquiries and complaints.
- Able to prioritise and manage multiple tasks effectively in a busy, fast-paced environment.
- Confident in making decisions, problem solving and working independently.
- A proactive team player who can support, motivate and lead colleagues.
Desirable:
- Administrative qualification or equivalent CPD/training or willing to work towards.
